Settings
On this page, you can learn more about how to tailor the Fillchecker app to your needs.
General settings
On the General settings tab, you can select timesheet checks. The selected timesheet checks will be applied to the Time models and added to the notification message.
Currently, only the Expected daily working hours check is available, but further checks will be added soon.
Integrations
Timetracker - Time Tracking & Reporting for Jira
The integration between Timetracker and Fillchecker allows for improved functionality and efficiency when both apps are installed. This feature is designed to optimize data access and reduce configuration duplication.
Why integrate with Timetracker:
Faster Report Generation: FillChecker can use the Timetracker app's public REST API to retrieve worklog data. This method is significantly faster than accessing data through Jira’s native REST endpoints, especially when working with a large number of users. This results in quicker report generation and improved overall performance.
PLANNED Shared Configuration for Holidays and Non-Working Projects: With this integration, FillChecker can utilize holiday schedules and non-working project settings that are already configured in Timetracker. This eliminates the need for duplicate configuration efforts, ensuring consistent settings across both apps.
How to integrate with Timetracker app:
Create and get the Timetracker API Token following this guide: https://docs.everit.biz/timetracker/rest-api
Paste the generated token to the configuration page. It will be validated by the Fillchecker app.
If the token is valid, you can turn the integration on with the toggle button.
The user who generates the token should have “Permission to use Reporting” and “Permission to browse worklogs of other users” app permission to get worklogs from Timetracker
Time models
With time models, you can split your team into groups based on the expected daily working hours e.g. part-time and full-time employees.
Time models are also helpful when you don’t want to send notifications for all full-time workers, e.g. managers don't have to log their working hours in Jira. In this case, you can turn off the notification on the Time model created for managers.
Hint: If you want to test notifications on a small group, then create a separate time model, and enable notificitations only on that specific group.
After installing the Fillchecker app, all users will be added to the “Default time model” — which is synchronized with your Jira time tracking settings.
By default, all users belong to this default time model, unless the user has been selected in another one. New Jira users will be also added to this Time model.
This Time model can’t be removed and all the users you remove from other time models will returned to this group.
You can check if a user is member of this time model with the help of a user searcher.
To create a new time model, simply click on the “Create new time model” button and define its name and the required hours for this model.
A Jira user can belong to a Time model. If you add it to another group, it will be removed from the previous one.
Holidays
You can manage special dates here, like public national holidays, or weekends, which are working days. These dates will affect the calculation of expected working hours, overtime and coloring on the Reporting.
Examples:
Excluded date: Nov. 18th, though a workday (Monday), is a national holiday in your country. After configuring this as an excluded day in Fillchecker, it will be treated as a non-working day (holiday/weekend). This adjustment ensures that the date won’t appear as a required day in reports, users won’t receive reminder emails, and any work logged on this day will automatically be treated as overtime.
Included date: Nov. 23th, though a weekend (Saturday), is a workday in your country. After configuring this as an included day in Fillchecker, it will be treated as a working day (weekday). This adjustment ensures that the date will appear as a required day in reports, users will receive reminder emails, and any work logged on this day will be calculated against the expected hours.
Exclude date
You can manage special dates here, like public national holidays that are weekdays but not working-days:
You can add days that are by clicking on the Date field and select the date in the calendar.
You can add a description for the selected date. (optional)
You can remove a date from the list by clicking on the Remove button.
Include date
You can manage the included days the same way as the excluded days.
Filter dates
Existing dates can be filtered by years. Provide a year number in the "Filter by year" field to filter the special days down to that year.
Email notifications
You can notify your team members if they didn’t complete the timesheet for the previous day. Email notifications are sent once a day. To send daily notifications, you need to turn on the notifications on the Time model.
You can send email notifications via Jira Issue notification: To send a Jira notification, you need to select an issue from your Jira.
Hint: Create a general issue for this notification, which is accessible for all team members, and include instructions for completing the timesheet, e.g., Go to the Timetracker app and log your work.
Custom email template setting
Using the custom email template setting, you can tailor notification messages. By adding a subject and custom message, you can share instructions with the notified members.
Hint: Users get dozens of notifications a day; try to pick a subject that stands out from the crowd. For example, using emojies or catchy subjects
Permission settings
You can customize permissions for Fillchecker settings and Reports individually.
Admin permissions
Fillchecker settings and reports are only accessible for Jira administrators by default. Here you can add other team members e.g. HR administrators, team leads etc. You can add users or groups here.
Team members who are added can edit Fillchecker settings.
Reporting permissions
You can limit team members' access to the reports in reporting permissions. Jira administrators can open the reporting view at any time. Regular members can be locked out from the reporting by adding at least one member to the list (if the list is empty, all members can access the reporting). You can add users or groups here.
